AAAAI Case Study
Managing the Destination
Client: American Academy of Allergy Asthma and Immunology
Event: AAAAI 2008 Annual Meeting
Objective
To provide convention-wide shuttle service and a custom tour program to all attendees of the annual conference. Provide off-site venue selection, food and beverage management, entertainment, décor, special event transfers, staffing, design & implementation for the annual President/ President Elect Reception. Plan and manage various board dinners at area restaurants including VIP transportation and transportation of staff to and from all events.
The Program
The most well respected scholars in the field descended into Philadelphia where a hospitality staff person helped welcome attendees at the Grand Hall of the Pennsylvania Convention Center. A tour desk was available for onsite registrants to participate in any of our customized tours. Many guests stopped by the desk just to rave about the Historic Tour!
The Board of Directors is a seasoned group of travelers, so a variety of upscale restaurants, each with custom menus and paired cocktails, were selected to entertain each evening of the conference. With no shortage of VIP treatment, the guests were delighted by the food, service and ambience of each evening.
Each year’s President & President Elect come together for a once-in-a lifetime event that celebrates their accomplishments with an evening reception during the annual conference. To keep in the tradition of a grand-event, the National Constitution Center was transformed with lighting, table décor, and seasonal florals. Historic characters greeted attendees at arrival, welcoming all to the celebration.
Roberts Event Group provided tours showcasing the Philadelphia area, a convention-wide shuttle to transport attendees all about town, entertained the Board of Directors at area restaurants and gave the President, President-Elect and their guests an unforgettable night. As a result, this group was able to socially engage and network at events and activities designed to enhance the overall conference experience.
